Tenant Move-in Instructions

MOVING INTO YOUR PROPERTY

As your lease expiration date gets closer, we wanted to make sure you had all the necessary tools to have a smooth move-out experience. Please refer to the information below for reference:

Setting Up Your Online Portal:

  • Once you receive an email from the following address: no-reply@propertyware.com, proceed to the next step.
  • Watch the following short video to learn how to set up your portal: Directions for setting up your tenant portal
  • NOTE: The link contained within the email from the portal will expire 24 hours after it is sent out.  If you do not get to the portal within the 24-hour period, send an email to support@washingtontenants.com and we will reset the link for you.

Paying Your Rent and Security Deposit:

All payments will be made through our online tenant portal

  • **Please note: if your account information is entered into the portal incorrectly, the payments you make will not be processed, and the payment will be returned to you.  This will cause a $75 "returned check fee" to be added to your ledger. Regardless of the reason for the error, we cannot remove this charge. 
  • **Although you may have paid your application fee via credit card, the portal will be set up using your banking information (you cannot use your credit card to pay your rent).
  • ** The security deposit is due after the lease has been executed.
  • **Final note: There cannot be two payments pending in the system at the same time.  Therefore, if you pay your security deposit, you will have to wait a few days for the transaction to settle before paying your rent. To avoid late rent, you may combine your 1st month’s rent and security deposit.

Setting Up Utilities

  • As stated in your lease, you are required to transfer the utilities into your name. If this is not completed by the lease start date, there is a fine of $195 assessed and there is a possibility that your utilities will be shut off.  
  • Refer to your lease (Utility Paragraph) to find information on the utility providers. Please be aware that any specific questions related to utilities need to be directed to the utility company

Building Move-in (only applicable to rental units managed by HOA/Condo Associations):

If the unit you are renting is part of an HOA/Condo Association, you will need to contact the association to schedule your move-in and pay the move-in fees (if applicable). This should be completed as soon as possible to avoid any issues with the building.

Move-in Time:

  • All move-ins can take place after 2:00pm on the start date of the lease. Move-ins cannot take place any earlier than 2:00pm on the lease start date. 
  • We will perform a move-in evaluation prior to the lease start date to document the condition of the property. We do not provide this evaluation to the Tenant but there will be a separate email sent out allow the tenant to document the condition of the property within 7 days of the lease start date. This is kept on file to prevent security deposit disputes.

Tenant move-in evaluation:

  • You will receive a link to the tenant move-in evaluation on the start date of your lease. This is provided to allow you to document any wear and tear in the property that you want us to note to file. This will be used for your move-out evaluation so you are not billed for something you did not cause.
  • The tenant move-in evaluation is for documentation purposes only. As a reminder, your lease states that the property is delivered in "as-is" condition. 

Requesting Maintenance:

  • All maintenance requests MUST be submitted via the portal in order for us to schedule them.  Once the request is received, our team will assess the request and provide troubleshooting steps. If the steps are unable to resolve the issue, we will submit the request to the Landlord for approval. 
  • When submitting a maintenance request, please give the basic information pertaining to the problem.  Providing bullet points will elicit the fastest response.
  • If there is more than 1 item that requires maintenance, please include all requests in the same submission.
  • **Note: We are unable to give specific times for work to be done, as this is determined by the contractor each morning.  If it is imperative that someone be at the property during the service, let us know within the maintenance request, and we will do our best to accommodate.

Keys/Access Into The Property:

  • Refer to the original email that was sent to you after the lease was executed. This email includes instructions for completing the move-in questionnaire. You will complete the section on the questionnaire that asks for your forwarding address. Once this has been submitted, we will mail the keys to you.
  • Each Tenant will be provided with one set of keys to the Premises. Additional keys may be purchased for a $45 administrative fee. One mailbox key per lease will be provided (this is a total of one key).
  • No access can be provided into the unit prior to the Lease Start Date.
